Billed wrong? Send it back.
Most tools stop at the alert. lowboy keeps going: when an invoice is wrong, it writes the credit request, keeps it in front of the right person until the money comes back, and keeps the score for every store.
Book a walkthroughEvery invoice line, checked every morning.
The morning scan reads each line against what you should have paid. Anyone running a store can raise one by hand too. Small amounts stay off the list, and every threshold is yours to set.
Above the agreed price
Set the price you shook on, for one store or all of them. Any line billed above it is caught.
Price jump
A price 10% or more above the usual one: the middle price that store paid over the last eight weeks.
Billed twice
The same item, quantity and amount from the same vendor, on two different invoices for the same day.
Ask for a credit
One tap from any invoice line, any price move, or a bad delivery noted in the end-of-day report.
The request writes itself.
- 01Found. The scan opens a request for everything it catches, with the invoice, the line and the dollar difference. One line never gets two requests.
- 02Written. lowboy drafts the ask in plain English: invoice, item and item code, what you were billed, what you should have been, and the total to credit.
- 03Asked. The manager copies it into an email or a text to the rep and taps Mark asked. Nothing goes out without a person sending it.
- 04Nudged. No credit after two weeks? It moves to Needs a nudge, so it doesn't quietly die.
- 05Matched. When that vendor's credit memo comes in for about the same amount, or names the invoice, it shows up right next to the request.
- 06Closed. The owner or operations marks it credited, with the amount received, or refused, with the reason. Every step stays on the record.
Every store keeps the score.
What was found, what was asked for and what came back, for each store, this month and all time. It leads with money received, the number nobody can argue with.
Each one comes with its next step.
A price-match ask
Another vendor, or another of your stores, pays less for the same item. lowboy drafts the ask with the better price, and never names the other vendor.
A fix to the item
A gap of 30% or more is usually a wrong pack or unit, not a deal. It goes to its own list with a link to fix the item, so food cost stays right.
Make it a task
Two taps turn anything it catches into a one-off task on that store's screen, with a due date. It stays there until someone finishes it.
No pings, no texts after hours. Everything waits on the screen for the person whose job it is, and nothing is sent to a vendor until someone sends it.
